Privacy Policy

1. Introduction

Colin McIntosh LLC (doing business as SheetsResume.com) (“we”, “us”, or “our”) is committed to protecting your privacy. This Privacy Policy outlines how we collect, use, and safeguard your personal information when you access and use our website, SheetsResume.com (the “Site”), and its associated services. By using the Site, you agree to the collection and use of information in accordance with this policy.


2. Information We Collect

We may collect two types of information:

A. Personal Information

When you upload content, create an account, or otherwise interact with the Site, we may collect personal information, including but not limited to:

  • Name
  • Email address
  • Contact information
  • Any information contained within resumes, documents, or other materials you upload
  • If you use AI Interview Practice: your typed or spoken answers, the transcript of a spoken interview, the feedback, scores and report created from them, and the details you enter to set it up (such as job title, company, and any interviewer LinkedIn profile you look up)

B. Non-Personal Information

We also collect non-personal information through the use of cookies, analytics tools, and server logs, such as:

  • IP addresses
  • Browser type and version
  • Operating system
  • Referring website
  • Time and date of visits
  • Pages viewed and the time spent on them

C. AI Interview Practice

AI Interview Practice comes in two versions. In the typed version, you type each answer or say it out loud, and we send it to our AI provider for a score and feedback. The live voice version, for members, is a spoken conversation: we only use your microphone after you press Start Interview and allow it in your browser, and we stop using it when the interview ends. During a voice interview, your voice is streamed directly from your browser to OpenAI, which turns your speech into text and speaks the interviewer's replies back to you. We do not record or store the audio of your interview. For each voice interview we keep the written transcript, the feedback report, a scrambled (hashed) form of your IP address, and basic usage details: when it started and ended, how many minutes it used, and which AI model and voice were used. To count the 5 free answers in the typed version, we store a scrambled (hashed) form of your IP address, and your account ID if you are signed in, with each free answer for 30 days. We do not use interview audio or transcripts to train AI models.


3. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate, and maintain our Site and services
  • To improve and personalize your experience on the Site
  • To communicate with you, including responding to your inquiries or providing updates
  • For internal research, data analysis, and improving the Site's functionality
  • To ensure compliance with our Terms & Conditions
  • To process payments, if applicable
  • To develop, enhance, and train our AI models using the data provided by users

4. Ownership of Submitted Content

As outlined in our Terms & Conditions, all content, resumes, or other materials you upload to the Site become the property of Colin McIntosh LLC (doing business as SheetsResume.com). By submitting any content, you grant us perpetual, irrevocable rights to use, modify, distribute, and sublicense that content for commercial or other purposes, including to train AI models.


5. Sharing of Information

We may share your information with:

  • Service Providers: We may employ third-party companies to facilitate our services or to perform services related to the Site. These third parties have access to your information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.
  • OpenAI: AI Interview Practice uses OpenAI to run the interview and write your feedback. Your typed answers are sent to OpenAI for scoring. In a voice interview your voice is sent to OpenAI live, and the transcript is sent afterward to write your report, along with a coded identifier (a one-way hash, never your name or email) that helps OpenAI detect abuse. Under OpenAI's API terms, this data is not used to train OpenAI's models, and OpenAI may keep it for up to 30 days to monitor for abuse before deleting it.
  • Anthropic: When you upload or import a resume, its text is sent to Anthropic's Claude to turn it into a structured resume (if Claude is unavailable, OpenAI does this step instead). Under Anthropic's commercial terms, this data is not used to train Anthropic's models, and Anthropic keeps it for up to 30 days for safety and security purposes before deleting it.
  • Legal Requirements: We may disclose your information if required by law or in response to a valid request by public authorities.
  • Business Transfers: In the event of a merger, acquisition, or sale of all or part of our business, your personal information may be transferred to the new owner or party involved.
  • Partners: By using our website and sharing your personal and professional information with us, you understand and permit that we or our partners may reach out to you about job opportunities that fit your work experience.

6. Cookies and Tracking Technologies

The Site uses cookies and similar tracking technologies to enhance user experience. Cookies are small files stored on your device that allow us to track usage patterns and personalize your experience. You may modify your browser settings to decline cookies, but this may limit your ability to use certain features of the Site. AI Interview Practice also saves your interview settings and your sound and caption preferences in your browser's local storage. You can clear these at any time in your browser settings.


7. Data Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected or as required by law. User Content submitted to the Site will be retained indefinitely, as outlined in our Terms & Conditions, and may be used by SheetsResume.com to train AI models and for other lawful purposes.

AI Interview Practice is an exception to the indefinite retention above: voice interview transcripts, feedback reports and their usage records are kept for 12 months and then deleted automatically, and the records we use to count free answers are deleted after 30 days. Interview audio is never stored. You can ask us to delete your interviews sooner by emailing [email protected].

Ratings and comments you leave in the optional survey after a voice interview are kept with our other site feedback, along with that interview's length, interviewer voice and AI model, and are not deleted with the interview after 12 months; we keep them until you ask us to delete them by emailing [email protected].


8. Security of Information

We are committed to protecting your information and use appropriate technical and organizational measures to safeguard your data. However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security.


9. Your Rights

You have the following rights regarding your personal information:

  • Access: You have the right to request access to the personal information we hold about you.
  • Rectification: You have the right to request that we correct any inaccuracies in your personal information.
  • Deletion: You may request that we delete your personal information, subject to certain legal or contractual obligations.
  • Objection/Restriction: You may request that we stop processing your personal data or restrict its use in certain cases.

10. Children's Privacy

The Site is not intended for use by anyone under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete such information.
